VoiceCloser provides AI-powered voice agent services through its website at voicecloser.io (the "Site") and its related platform, applications, and services (collectively, the "Services"). This Privacy Policy describes how we collect, use, and protect information from users of the Services ("you," "your").

We collect personal information you voluntarily provide when you:

  • Create an account or register for the Services
  • Fill out intake or onboarding forms
  • Request a demo call or submit a form that includes SMS consent

  • Subscribe to a paid plan

Call and Voice Data

Our Services involve AI-powered voice agents that make and receive phone calls on your behalf. In connection with this, we may collect:

  • Call metadata (duration, timestamps, phone numbers)
  • Call analysis data (sentiment, summaries, outcomes)

Call recordings and transcripts are stored securely and are accessible only to you and authorized personnel within your organization.

How We Use Your Information

We use the information we collect to:

  • Provide, operate, and improve the Services
  • Process transactions and manage your subscription
  • Make and receive calls through our AI voice agents on your behalf
  • Analyze call performance and provide reporting
  • Send administrative communications (account updates, billing, security alerts)
  • Respond to your inquiries and provide support
  • Comply with legal obligations

We do not sell your personal information to third parties.

SMS/Text Message Communications

VoiceCloser may send you SMS (text) messages related to your demo, account, or our services. This section explains how we collect consent, what messages you may receive, and how to opt out.

How We Obtain Consent

We obtain your consent to send SMS messages when you check an optional SMS consent checkbox on one of our forms:

  • Request a demo call through our website and check the optional SMS consent checkbox
  • Submit a custom agent build form and check the optional SMS reminders or marketing checkbox
  • Book a consultation and check the optional SMS consent checkbox

SMS consent is always optional. You can request a demo call, submit a build form, or book a consultation without consenting to receive SMS messages. SMS consent is never a condition of using our service.

Your consent is recorded with a timestamp and the specific context in which it was provided.

Types of Messages

You may receive the following types of SMS messages from VoiceCloser:

  • Demo follow-ups: Confirmation that your demo call was placed and follow-up messages related to your demo experience
  • Appointment reminders: Confirmations and reminders for scheduled strategy calls or support calls
  • Account notifications: Important updates about your account, subscription status, or security alerts
  • Marketing messages (if opted in): Product tips, workflow ideas, feature announcements, and exclusive offers

Message Frequency

Message frequency varies based on your interactions with our service. Typically:

  • Demo follow-ups: 1–3 messages per demo request
  • Appointment reminders: 1–3 messages per scheduled appointment
  • Account notifications: Only when action is required (varies)
  • Marketing messages: 1–2 per month (if opted in)

Carrier Charges

Message and data rates may apply. Standard messaging rates from your wireless carrier will apply to any SMS messages you receive. VoiceCloser does not charge separately for SMS messages, but your carrier may charge you for each message received. Contact your wireless carrier for details about your messaging plan.

Opting Out

You can opt out of SMS messages at any time by:

  • Replying STOP to any SMS message you receive from us
  • Visiting our opt-out page
  • Contacting us at support@voicecloser.io

After opting out, you will receive a confirmation message and no further SMS messages will be sent unless you re-subscribe. Opting out of SMS does not affect other communications (email, in-app notifications).

No Third-Party Sharing of SMS Consent

We do not sell, rent, or share your phone number or SMS consent with third parties for their marketing purposes. Your phone number and consent information will only be used by RECO QA LLC (VoiceCloser) and our service providers who assist in delivering SMS messages on our behalf. These service providers are contractually prohibited from using your information for any purpose other than providing SMS delivery services to us.

Third-Party Services

We use the following third-party services to operate the platform:

  • Retell AI: powers our voice agent technology, processes call audio and transcripts
  • Supabase: database and authentication infrastructure
  • Stripe: payment processing and subscription management
  • PostHog: product analytics and usage tracking
  • Affonso: affiliate program management and referral tracking. Affonso sets a first-party tracking cookie when you arrive via an affiliate link, used solely to attribute the referral if you later sign up for the Services
  • RB2B (Retention.com): website visitor identification. RB2B and its data partners may use cookies and similar technologies to associate your visit to the Site with personal information (including your email and business profile) they or others hold about you, so we can follow up with relevant communications. See the disclosure and opt-out details in the Cookies section below

Each of these providers has their own privacy policies and we only share the minimum information necessary for them to perform their functions.

Data Sharing and Disclosure

We do not sell your personal information for money or trade it for unrelated commercial purposes. However, as described in the Third-Party Services and Cookies sections, our website visitor-identification and online advertising partners may associate your activity on the Site with personal information about you in order to deliver marketing — an activity that some state privacy laws (such as California's CCPA/CPRA) may treat as a "sale" or "sharing" of personal information for targeted advertising. You can opt out of it at any time using the links in the Cookies section. Beyond that advertising activity, we share your information only in the following limited circumstances:

  • Service providers: with third-party vendors who assist in operating the Services (as described above)
  • Advertising and visitor-identification partners: with online data partners as described in the Third-Party Services and Cookies sections, subject to the opt-out links provided there
  • Legal requirements: when required by law, subpoena, or legal process
  • Protection of rights: to protect the rights, property, or safety of VoiceCloser, our users, or the public
  • Business transfers: in connection with a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction

Data Security

We take reasonable measures to protect your personal information from unauthorized access, alteration, disclosure, or destruction. This includes encryption of data in transit and at rest, role-based access controls, and regular security reviews. However, no method of transmission over the Internet is 100% secure, and we cannot guarantee absolute security.

Data Retention

We retain your personal information for as long as your account is active or as needed to provide the Services. Call recordings and transcripts are retained for the duration of your subscription. Upon account deletion, we will remove your data within 30 days, except where retention is required by law.

Your Rights and Choices

Depending on your location, you may have the right to:

  • Access the personal data we hold about you
  • Request correction of inaccurate data
  • Request deletion of your data
  • Opt out of marketing communications
  • Request a copy of your data in a portable format

We do not sell your personal data for money, but our use of website visitor-identification and advertising partners (see the Cookies section) may qualify as a "sale" or "sharing" for targeted advertising under these laws; you can opt out of that activity using the links in that section. Children's Privacy

The Services are not intended for individuals under the age of 18. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will promptly delete it.

Cookies

If you arrive at the Site via an affiliate referral link, our affiliate tracking provider (Affonso) sets a referral attribution cookie that lasts up to 60 days. This cookie is used solely to credit the referring affiliate if you later sign up for the Services and does not collect personally identifiable information until you choose to sign up. You can decline or clear this cookie through your browser settings.

When you visit or log in to our website, cookies and similar technologies may be used by our online data partners or vendors to associate these activities with other personal information they or others have about you, including by association with your email. We (or service providers on our behalf) may then send communications and marketing to these email addresses.
